How to set up new appointment types - coaching session example

How to set up workshops, coupons, intake forms, and packages

Notes about setting up workshops:

  • All workshops go onto your “Laura McKinzie Workshops Calendar”

  • You and all participants will use the same Zoom link to attend: https://us02web.zoom.us/j/3879184552?pwd=Wk44RlNKTVZsK3ZzZ0o4WFRuUzNsQT09

  • Here's what that process would look like when you set up a workshop as a “new appointment type,” just make sure you offer it as a class and select the "Workshops Calendar" from the dropdown list to generate the same Zoom link:

For existing workshop, click on the pencil to edit; for new workshops, click on “Offer Class” to set up a time and calendar type

For all workshops, add them to the “Laura McKinzie Workshop Calendar” and all participants will get the same Zoom link in their email confirmation and the event should automatically go on your Google Calendar with the Zoom link

Events Strategy

I recommend using the following three platforms for your event needs:

  1. Squarespace Events page- for indirect events, and short workshops

    • This is built into your site at no extra cost to you

    • Enter events here that don't require direct payment to you such as events hosted by SWIHA

    • How to use it:

      • For any new event, enter info on your "Events list" page and they will automatically populate on your "Events" page

  2. Acuity- for coaching, classes, & gift cards

    • After booking, customer gets an email confirmation with a link to add event to their calendar

    • Client payment methods: Both Stripe & Paypal

    • What to use it for:

      • Best to use for individual coaching and coaching packages because it integrates with Zoom and your own digital calendar

      • It allows clients to book a coaching package by giving them a voucher code that is redeemable for the # of sessions in the package

      • You can also set an expiration date

      • Can also be used to create gift cards and gift coaching packages in case you want to offer this in the future

      • Also good for short-term events that start and end at a specific time, 9am-5pm for example

    • How to use it:

      • Set up new appointment types directly in Squarespace by clicking on "Scheduling" in the main menu

  3. Wetravel.com- for direct events hosted by you and paid to you, good for retreats  that need room reservations

    • It's kind of like the capabilities of Airbnb but for retreats!

    • Client payment methods: by credit card or by bank transfer

    • View the pricing here to see how much they charge per transaction

      • You can transfer funds instantly to your bank account! Use it anywhere Visa is accepted, with no monthly fees, sign-up fees, or annual fees.

    • What to use it for:

      • You can set up a deposit $ amount (no % option available), limit to the # of participants, dates, and room size options for multiple price points

      • You can create a pricing package to create a "single room" or "double room" option, along with different deposit amounts & room availability limits

      • Best for overnight and multi-day retreats that will need room size options and varying price

      • How to use it:

        • For any new event, enter the info in directly this booking site and it will automatically populate on your "Events" page in a list overview format

        • Each event will have a button, when someone clicks it will take them to a new external booking page where they can see the full description of the event and book their spot
